Position Title Human Resources Coordinator

Job Description Summary

Responsible for overseeing the Mary S. Roberts Pet Adoption Center’s Human Resources requirements in conjunction with the organization’s outsourced Human Resources vendor, and the additional responsibility of clerical duties.

Main Responsibilities/Functions

Human Resources:

  • Analyzes and organizes employee personnel files; ensuring proper retention, protection, retrieval, transfer, and disposition of records
  • Confidentially advises supervisors and managers on appropriate and effective resolutions to employee work issues and problems
  • Oversees and implements morale initiatives for employees and the organization as a whole such as employee of the month, birthday and anniversary recognition programs
  • Administers employee benefit programs, including enrollment, open enrollment, changes, terminations, COBRA, and invoice review and submittal. Provides benefits information to new employees, maintains system for tracking, follow-up and enrollment. Answers questions and assists employees in resolving problems with insurance providers.
  • Management of the annual Open Enrollment process including communication of new and revised benefits and premiums.
  • Reviews employment records to ensure completeness, accuracy and timeliness
  • Oversees and implements all recruiting activities, and coordinates with hiring managers. Follows up with managers to ensure that employee evaluations are completed in a timely manner, and implements coaching strategies if needed.
  • Manages the termination process of employees and seeks input from the outsourced Human Resources vendor as appropriate.
  • Periodically updates and revises materials distributed to staff to help in the processing and learning about the organization and the job responsibilities of each staff member

  • Oversees Workers’ Compensation activities and coordinates as needed with the outsourced Human Resources vendor
  • Coordinates internal and off-site training to promote professional development of staff
  • Coordinates performance reviews
  • In conjunction with other department managers coordinates MSRPAC’s internship/externship and temporary workers comp staffing. 


  • Oversees MSRPAC’s Safety Program
  • Responsible for maintaining inventory, budget and ordering of office supplies for entire organization
  • Works with outside vendors as it pertains to office equipment
  • Other duties as assigned

Other duties/functions:

  • Provide support to the MSRPAC’s team effort including, but not limited to:
  • Support staff in assigned project‐based work
  • File and retrieve organizational documents, records and reports
  • Assisting at MSRPAC special events as requested
  • Assist with overall maintenance of the organization and its offices
  • Perform other duties as identified or requested by the Bookkeeper and Executive Director to ensure the internal and external well-being of the Organization.

Supervisory Responsibilities:

May direct assignments of volunteers assigned to the HR department.



  • Strong organizational skills and attention to detail
  • Exhibit an “open-door” policy so employees know they have an approachable resource
  • Ability to prepare detailed and correct written work
  • Strong customer service skills
  • Ability to use independent judgment and discretion
  • Proficient in Windows application, specifically Word and Excel
  • Must have compassion and concern for both animals and people


  • 1-3 years of Human Resources experience
  • High school diploma, Bachelor’s degree preferred
  • Ability to work as a team motivate team members
  • Proficiency in computer applications (MS Word, Excel, Publisher, PowerPoint and databases).
  • Must have a valid CA driver’s license and a good driving record.

Working Conditions

  • Indoors in air-conditioned/heated office, outdoors at center or on-location for various activities
  • Equipment Use:
  • Includes use of PC, laser printer, copy machine, fax machine and telephone,
  • Work Hours:
  • Regular work hours are weekdays,
  • Some evening and weekend hours may be required, especially when MSRPAC hosts special events
  • Regular exposure to animals

Mental , Physical and Communication Demands:

  • Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
